Work Order

Introduction

A Work Order is the record of fieldwork performed. A Work Order is created automatically by the system once a Job Assignment reaches Confirmed status — you don't need to (and can't) create one manually.

Prerequisites

  • A stable internet connection.
  • An active account in the system.
  • Permission to view and manage Work Orders according to your role. Some actions (e.g. Submit for Verification) only appear once certain status and requirement conditions are met — see the guide sections below.

Step-by-Step Guide

Viewing the Work Order List

Goal: find a specific Work Order and monitor its status.

Steps:

  1. Open the Work Order menu. The list shows columns for number, date, customer, rolling stock, work order category, and status.
  2. Use the Search field to search Work Orders freely (e.g. by number or customer name).
  3. Use the Status and Date Range filters available directly on the toolbar.
  4. Click Advanced Filter to open additional filter options: Work Order Category, Customer, and Rolling Stock. An active filter is shown as a number badge on the Advanced Filter button.
  5. Click Reset Filter to return the list to its original state.

Expected Result: you find the Work Order you searched for, with the list filtered to your chosen criteria.

Starting Work

Goal: mark a Work Order as started.

Steps:

  1. In the Work Order list, find a row with Not Started status.
  2. Click Start on that row.

Expected Result: the Work Order's status changes to In Progress, and the Report and Acknowledge Work Order actions become available.

Reporting Work Results

Goal: record the results of analysis, repairs, complaints, causes, and spare parts used.

Steps:

  1. On a Work Order row with In Progress status, click Report.
  2. Fill in the work results form. Full field details are explained in Work Process.

Expected Result: the work result data is saved on the Work Order.

Note: the Acknowledge Work Order process and submitting for verification are explained in full in Verification & Completion.

Submitting for Verification

Goal: submit a Work Order for verification once the work has been fully recorded.

Steps:

  1. Make sure the Work Order's status is In Progress.
  2. Make sure the PIC and Inspector have each completed Acknowledge Work Order.
  3. Click Submit for Verification.

Expected Result: the Work Order's status changes to Waiting for Verification.

Warning: the Submit for Verification button stays disabled as long as either party (PIC or Inspector) hasn't signed yet. The button shows which party still needs to confirm.

Completing a Work Order

Goal: close a Work Order once it has been verified.

Steps:

  1. Make sure the Work Order's status is Waiting for Verification.
  2. Click Complete on the Work Order row.

Expected Result: the Work Order's status changes to Completed.

Editing and Exporting

Goal: update Work Order data or download the list as an Excel file.

Steps:

  1. Click Edit on a Work Order row to change the date, start/end time, analysis, repairs, notes, complaints, or causes.
  2. Click Save to save the changes.
  3. To download the list, click Export. The downloaded Excel file follows the filter currently active on the list.

Expected Result: the Work Order's data is updated, or the Work Order list's Excel file downloads successfully.

Troubleshooting / FAQ

IssueSolution
The Submit for Verification button can't be clickedThe PIC or Inspector hasn't completed Acknowledge Work Order yet. Check the button's note to see which party still needs to confirm, then ask that party to sign the Work Order.
The Start or Report action doesn't appear on a Work Order rowActions only appear according to the Work Order's current status (e.g. Report only for In Progress status). Check the Work Order's status in the Status column.
The Delete button doesn't do anything when clickedThe delete Work Order feature isn't available in the system yet — the button appears in the action menu but isn't connected to any action.
