Introduction
The Reports page provides four types of recap reports: Work History, Technician Productivity, Work Order Recap, and Management Summary. Three of them can be exported to Excel per the active filter.
Glossary
| Term | Explanation |

| Export | Download report data as an Excel file, following the currently active filter. |
| Dashboard | A summary view of cards and tables, without a row-by-row list. |
Prerequisites
- A stable internet connection.
- An active account in the system.
- Permission to view reports. For price data (e.g. total Warranty Claim value on Management Summary), the same price permission applies as on the Warranty Claim page.
Step-by-Step Guide
Work History
Goal: view a list of all Work Orders with their details, filterable by rolling stock and AC unit.
Steps:
- Open the Reports menu, then choose Work History Report.
- Use Search to search freely, or set the Date Range, Rolling Stock, and AC Unit filters as needed.
- Check the list showing columns for number, date, rolling stock, work order category, and status.
- Click a row to open the same Work Order detail as on the Work Order page.
- Click Export to download the list (per the active filter) as an Excel file.
Expected Result: you obtain a list of Work Orders matching your chosen filter, and can open the detail or download it as an Excel file.
Technician Productivity
Goal: view a recap of the number of Work Orders handled by each employee.
Steps:
- Open the Reports menu, then choose Technician Productivity.
- Set the Date Range and Work Order Category filters as needed.
- Enable the Completed Only toggle if you only want to see completed Work Orders.
- Check the table showing columns for employee name, total Work Orders, and completed count.
- Click Export to download the recap (per the active filter) as an Excel file.
Expected Result: you obtain a recap of Work Order counts per employee matching your chosen filter, and can download it as an Excel file.
Work Order Recap
Goal: view a recap of Work Order counts grouped by Work Order Category or by employee.
Steps:
- Open the Reports menu, then choose Work Order Recap.
- Choose the By Category view to see the recap per Work Order Category, or By Employee to see the recap per employee.
- Set the Date Range, Work Order Category, and Status filters as needed.
- Check the table showing name (category or employee), total, and completed count.
- Click Export to download the recap (per the active filter and view) as an Excel file.
Expected Result: you obtain a Work Order recap matching your chosen view and filter, and can download it as an Excel file.
Management Summary
Goal: view a dashboard summarizing overall operational conditions (Work Order, Job Assignment, Warranty Claim, Ticket, and AC Unit warranty status).
Steps:
- Open the Reports menu, then choose Management Summary.
- Set the Date Range filter to the period you want to view.
- Check the summary cards: total Work Orders (with completion rate), total Job Assignments (with completed count), Warranty Claim count and total value, open tickets (with closed count), and an AC Unit warranty status summary (active/expiring/inactive).
- Check the Top Work Order Categories table to see the categories with the most Work Orders (total and completed).
- Check the Top Technicians table to see the employees with the most Work Orders (total and completed).
- Check the Most Used Spare Parts table to see the spare parts used most often, along with the number of Work Orders that used them and the total quantity used.
Expected Result: you obtain a concise overview of operational conditions for the chosen period.
Note: Management Summary has no Export button — this report is only shown as a dashboard.
Troubleshooting / FAQ

| I can't find an Export button on Management Summary | This isn't an error — Management Summary doesn't have an export button and is only shown as a dashboard. |
| The total Warranty Claim value doesn't appear on Management Summary | Price data only appears for users with the View Warranty Claim Price permission, same as on the Warranty Claim page. |
| The downloaded Excel file doesn't match what I expected | Export follows the report's currently active filter. Double-check the filter (date range, category, etc.) before clicking Export. |
