Introduction
A Warranty Claim is created automatically by the system, not by a user — when a Job Assignment is confirmed for a unit that meets warranty eligibility, and its claim lines are synced automatically from the spare parts list recorded on the Work Order report. This page only displays, edits, and prints claims that have already formed.

Prerequisites
- A stable internet connection.
- An active account in the system.
- To see the Total and Price columns, you need the View Warranty Claim Price permission. Without this permission, price information is hidden.
Step-by-Step Guide
Viewing the Warranty Claim List
Goal: find a specific warranty claim from the list of automatically formed claims.
Steps:
- Open the Warranty Claim menu. The list shows columns for number, related Work Order (with status), customer, date, installation date, and total (only if you have price permission).
- Use the Search field to search for a claim by number.
Note: this page has no additional filters beyond searching by number.
Expected Result: you find the warranty claim you searched for in the list.
Viewing Warranty Claim Detail
Goal: view the complete details of a warranty claim, including its claim lines.
Steps:
- Click a claim row, or click View on that row, to open the detail dialog.
- In the detail dialog, check the number, total (if you have permission to see it), date, and installation date.
- Check the claim line table: description, quantity, related AC unit, unit of measure, price (if permitted), and notes.
Expected Result: you obtain the complete details of the warranty claim, according to your permissions.
Downloading the Warranty Submission Sheet
Goal: get the warranty submission sheet PDF document for this claim.
Steps:
- Open the warranty claim detail dialog.
- Click Download PDF.
Expected Result: the warranty submission sheet downloads to your device in PDF format.
Note: some sections of the printed form still need to be filled in manually after downloading — these sections are marked with a note in the detail dialog.
Editing a Warranty Claim
Goal: update warranty claim data, including the date and claim lines.
Steps:
- Open the warranty claim you want to edit, then click Edit.
- Change the Date and Installation Date as needed.
- For claim lines sourced from a spare part on a Work Order report, note that the description and quantity are view-only (can't be changed on this form).
- For manual lines (new lines you add yourself), enable the Spare Part Item toggle if this line refers to an already-registered spare part, then choose the spare part from the list. If the toggle is left off, fill in the description field freely as text.
- Change quantity as needed.
- On each line, fill in or change Related AC Unit, Unit (see Unit), Price (if you have permission to view/change price), and Notes.
- To add a new line, click + Add Row.
- To remove a line, click the delete icon on that row.
- Click Save to save the changes.
Expected Result: changes to the warranty claim are saved and visible in the detail dialog.
Troubleshooting / FAQ
