Document Settings

Introduction

This page manages the document number, revision, effective date, and active status for each printable (PDF) document type used by the system: Job Assignment, Work Order, and Warranty Claim.

Prerequisites

  • A stable internet connection.
  • An active account with permission to manage Document Settings.

Step-by-Step Guide

Viewing, Searching, and Filtering Document Settings

Goal: quickly find the document setting you're looking for.

Steps:

  1. Open the Document Settings page. The list shows columns for number, type, revision number, effective date, active status, and notes.
  2. Type a number keyword in the Search field.
  3. Use the Type filter to choose Job Assignment, Work Order, or Warranty Claim.
  4. Use the Active Status filter to choose Active or Inactive.

Expected Result: the document settings list shows results matching your keyword and/or chosen filter.

Adding a Document Setting

Goal: add a new document setting for a document type.

Steps:

  1. Click Add New.
  2. Fill in the Number field.
  3. Choose Type — Job Assignment, Work Order, or Warranty Claim.
  4. Fill in the Revision Number and Effective Date fields.
  5. Fill in the Notes field if needed (optional).
  6. Enable the Active toggle if this setting will be used when printing the PDF.
  7. Click Save.

Note: only one active setting per document type is used when printing the PDF. If Active is enabled for a type that already has another active setting, the system shows a warning that the existing setting will be replaced.

Expected Result: the new document setting appears on the Document Settings list.

Editing a Document Setting

Goal: update an existing document setting.

Steps:

  1. Choose the setting you want to change, then click Edit.
  2. Change the Number, Type, Revision Number, Effective Date, Notes, and/or Active toggle as needed.
  3. Click Save.

Note: only one active setting per document type is used when printing the PDF. If Active is enabled for a type that already has another active setting, the system shows a warning that the existing setting will be replaced.

Expected Result: the document setting data in the list is updated per your saved changes.

Deleting a Document Setting

Goal: delete a document setting that's no longer needed.

Steps:

  1. Choose the setting you want to delete, then click Delete.
  2. Read the confirmation dialog that appears.
  3. Click the confirm button to permanently delete the data.

Warning: deleted document setting data can't be restored.

Expected Result: the document setting is deleted from the list.
